This document covers bolthole.app (the Bolthole platform) and boltholedesign.co.uk. It is split into four parts: our privacy policy, cookies policy, website terms of use, and terms of service for our Readiness Score assessment (the “Assessment”). The Assessment covers the questionnaire, your results and related emails. If anything is unclear, please get in touch.

Part 1: Privacy Policy

1. Who we are

Bolthole Design Limited is the data controller for the personal information described in this policy.

2. What information we collect and when

a) When you take the BUILD-READY Assessment

We collect your first name and email address when you start the Assessment. We also collect your answers to the Assessment questions (including project type, stage, concerns, and the first three characters of your project postcode), your overall and category scores, and whether you consented to receive emails from us. We also record the time you spend on each question and your overall Assessment duration.

b) When accounts become available on bolthole.app

Accounts are not currently available on bolthole.app. We expect to introduce them for future features, and this section describes how they will work when we do.

When accounts become available, we may create an account using your email address. We will use a one-time verification code sent to your email to authenticate you, and we will store your name, email address and information you previously provided for your Assessment.

c) When you sign up to receive emails from us

You can sign up for emails directly, without taking the Assessment. We collect your first name and email address. If you consent to receive emails, your first name and email address are shared with our email platform (Kit, formerly ConvertKit) so we can send you relevant content and updates. You can unsubscribe from these emails at any time using the link in any email.

Where you have also taken the Assessment, we share your overall score, project timing, stage of plans, and the date you completed it, so that what we send you is relevant to your project's progress.

d) When you request a downloadable resource

Some articles offer a resource you can request, such as a checklist. We collect your first name and email address, and a record of which resource you requested. If you tick the consent box, these details are added to our mailing list in Kit so we can send you the resource and occasional emails. You can unsubscribe at any time using the link in any email.

e) When you book a consultation or contact us

We may collect your name, email address, messages you send us, and any details you include. If you become a client, we will also collect information needed to manage your project and meet our legal and accounting obligations.

f) When you browse our websites

We do not currently place any cookies on your device when you browse bolthole.app. The only cookies our platform would set are those needed to keep you signed in, and sign-in is not currently available. We use Vercel Analytics to understand how people use the site. It does not use cookies and does not identify you. If we introduce cookies or other tracking in future, we will update this policy and ask for your consent before placing any non-essential cookies.

3. How we use your information

We use personal information to provide and improve our services, communicate with you, manage our business, and comply with our legal obligations. This includes delivering your Assessment results, providing access to platform content, sending you emails where you have opted in, improving our tools and content, maintaining the security and performance of the platform, and legal administration.

UK GDPR requires us to have a lawful basis for processing personal data. The bases we rely on are:

• Consent - for sending you marketing emails and sharing your data with Kit for that purpose. You can withdraw consent at any time.
• Legitimate interests - for delivering your Assessment results, operating the platform, improving our services, and understanding how people use the Assessment (in aggregate). We only rely on legitimate interests where your rights do not override ours.
• Contract - where we need to process your information to deliver a service you have purchased (for example, a consultation).
• Legal obligation - where we are required by law to keep certain records (for example, for accounting or tax purposes).

4. Who we share your information with

We do not sell your personal data. We share it only with trusted service providers who help us run the platform and our business, including the following:

Where data is transferred outside the UK or EEA (to Resend and Kit in the USA), these providers use standard contractual clauses or equivalent safeguards to protect your data in line with UK GDPR requirements.

5. How long we keep your information

• Assessment data: retained for up to 3 years after your last activity, so you can return to your results. Where accounts are introduced, Assessment data will be retained for as long as the account exists.
• Email marketing data: retained until you unsubscribe or ask us to delete it.
• Consultation and client data: retained for 6 years after the end of the project or business relationship, in line with HMRC record-keeping requirements.
• Server logs: retained for up to 30 days by our hosting provider.

6. Unsubscribing vs deleting your data

There are two different actions you can take, if you want us to treat your information differently, and they do different things:

Unsubscribing from emails: Click the unsubscribe link in any email. This removes you from our mailing list (Kit) so you will not receive further marketing emails. Your Assessment results remain available at the link we sent you.

Deleting your data: If you want us to remove your personal details and Assessment results, and your account where accounts are in use, from our database, email us at hello@bolthole.app. We will delete your data from Supabase and Kit within 30 days and confirm by email when complete. Some data may be retained where we have a legal obligation to do so (for example, accounting records).

7. Your rights

Under UK GDPR, you have the right to access your personal data, have it corrected or deleted, restrict or object to processing, request portability of your data, and withdraw consent at any time. To exercise any of these rights, email us at hello@bolthole.app. We will respond within one month.

If you are not satisfied with how we handle your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

8. Children

Our services are not directed at anyone under 18. We do not knowingly collect personal data from children. If we become aware that we have collected data from someone under 18, we will delete it promptly.

9. Security

We take reasonable steps to protect your personal data from unauthorised access, loss, or misuse. Data is stored in Supabase with row-level security policies. Where accounts are introduced, authentication will use one-time verification codes rather than stored passwords, reducing the risk of credential theft. No online system is entirely risk-free, but we work to reduce that risk.

Your Assessment results are available at a private web address, which we send to the email address you provide. The private web address we send you is not published or listed anywhere, but anyone who has it can view your results, so please treat it as personal to you.

10. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last revised. If we make significant changes, we will notify you by email where possible. Continued use of our platform or services after changes are posted constitutes acceptance of the updated policy.

Part 2: Cookies Policy

11. What cookies are

Cookies are small text files placed on your device when you visit a website. Some are essential for the site to work; others help us understand how people use it or support marketing activity. Under UK rules (PECR), we need your consent before placing any non-essential cookies on your device.

12. How we use cookies

Strictly necessary cookies only

We may from time to time use strictly necessary cookies, specifically a session token that keeps you signed in while you use the platform. This does not require your consent.

We do not use analytics, marketing, or tracking cookies. We use Vercel Analytics to understand how the site is used, which does not set cookies and does not identify you. If we introduce optional cookies in future, we will update this policy and provide a cookie consent mechanism before placing them.

13. Managing cookies

You can manage or delete cookies through your browser settings. Where sign-in is available, blocking the session cookie will prevent you from staying signed in to the platform.

Part 3: Website Terms of Use

14. Acceptance of terms

By using bolthole.app or boltholedesign.co.uk, you agree to these terms. If you do not agree, please do not use the site. We may update these terms from time to time; continued use of the site after changes are posted means you accept the updated terms.

15. Use of this website

This platform is provided for information purposes and to enable you to access our services, including the BUILD-READY Assessment and related content. You may use it for personal, non-commercial purposes. You must not use this site in any way that is unlawful, harmful, or fraudulent, or in connection with any unlawful, harmful, or fraudulent purpose or activity.

16. Accounts

You do not need an account to use this platform or to take the BUILD-READY Assessment. We expect to introduce accounts for future features. Where accounts are available, you will be responsible for keeping your account details secure and for all activity that occurs under your account, and you must not create an account if you are under 18.

We reserve the right to suspend or close any account at our discretion, including where we reasonably believe the account is being misused.

17. Intellectual property

All content on this platform, including the BUILD-READY Assessment, the BUILD-READY Method, text, images, graphics, design, code, and any associated materials, is owned by Bolthole Design Limited or its licensors and is protected by copyright and other intellectual property laws.

You may not copy, reproduce, distribute, republish, or commercially exploit any content from this platform without our prior written consent. You may save or print pages for your personal, non-commercial use.

The name “Bolthole” is a registered trademark of Bolthole Design Limited, UK registration number UK00004356825. You may not use our name, logos, or trademarks without written permission.

You may not use any content from this platform, including the BUILD-READY Method and the BUILD-READY Assessment, for any commercial purpose. This includes reproducing, adapting or repackaging it as part of any product, service, publication, course or tool, whether provided for payment or free of charge, and whether or not our name is used.

You may not create derivative works based on this platform, including the BUILD-READY Method or the BUILD-READY Assessment, adapted, translated or reformatted versions, without our prior written consent.

Automated systems may read content on this platform. You may not use content from this platform to train, fine-tune or otherwise develop any machine learning or artificial intelligence model, or to build any commercial product, service or tool, without our prior written consent.

18. Assessment disclaimer

The BUILD-READY Assessment is a tool designed to support your self-assessment, and give you a general indication of how prepared your build or renovation project may be. It is provided for informational purposes only.

The Assessment does not constitute professional advice. It is not a substitute for the advice of an architect, structural engineer, interior designer, or any other qualified professional. Your results are based entirely on the information you provide, and we cannot verify the accuracy or completeness of your answers.

We strongly recommend that you consult appropriate professionals before making significant decisions about your build or renovation project. Bolthole Design Limited accepts no liability for any decisions made, or actions taken, based on your Assessment results.

19. Limitation of liability

The content on this platform is provided “as is” without any guarantees, conditions, or warranties as to its accuracy or completeness. To the extent permitted by law, Bolthole Design Limited excludes all liability for any loss or damage arising from your use of this platform, including (but not limited to) loss of data, loss of profit, or any indirect or consequential loss.

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by English law.

20. Links to other websites

This platform may contain links to third-party websites. We have no control over the content or availability of those sites and accept no responsibility for them. A link does not imply endorsement.

21. Termination

We may suspend or terminate your access to the platform at any time, without notice, if you breach these terms or if we decide to discontinue the service. On termination, your right to use the platform ceases immediately. Clauses that by their nature should survive termination (including without limitation those relating to intellectual property, limitation of liability, and governing law) will continue to apply.

Part 4: Terms of Service - BUILD-READY Assessment

22. About the service

The BUILD-READY Assessment is a free online tool provided by Bolthole Design Limited. It asks you a series of questions about your build or renovation project and provides a personalised readiness score across three categories: Spatial Readiness, Decision Readiness, and Site Readiness.

23. Your responsibilities

You are responsible for the accuracy of the information you provide when completing the Assessment. The quality and relevance of your results depends on the answers you give. You must provide a valid email address to receive your results.

24. What you receive

On completion, you receive a personalised results page showing your scores, tier, and feedback for each category. You may also receive follow-up emails if you consented to this during sign-up. Your results are available at a private web address, which we send to the email address you provide. This address is personal to you and anyone who has it can view your results, so please do not share it. Your results remain available there so you can return to them.

25. Availability

We aim to keep the platform and/or Assessment available at all times but do not guarantee uninterrupted access. We may update, modify, or withdraw the platform and/or Assessment at any time without notice. We are not liable for any loss arising from the platform and/or Assessment being unavailable or from changes to its content.

26. No professional relationship

Taking the Assessment does not create a client relationship between you and Bolthole Design Limited. If you wish to engage our professional services, this would be subject to a separate agreement.

General

27. Governing law

These terms, and any dispute arising from your use of this platform, are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction.

28. Severability

If any provision of these terms is found to be unlawful, invalid, or unenforceable, the remaining provisions will continue in full force and effect.
